Business Central holds the records finance and operations teams act on every day: sales and purchase invoices, customer and vendor ledger entries, items, and orders. An agent connected to it can match incoming invoices against purchase orders, flag overdue balances before they turn into collection problems, or answer "what's the status of this order?" without anyone opening the ERP.
We connect through the standard Business Central APIs using a dedicated Microsoft Entra app registration, so the agent has its own identity, its own permission set, and a clear audit trail, separate from any user account. Where the standard API doesn't expose what the workflow needs, we add a custom API page through an AL extension instead of working around the platform.
Writes are treated as accounting events, not convenience updates. Reading data and preparing drafts happen automatically; posting documents, changing fields that affect the ledgers, and applying payments go through human approval, with every proposed change logged next to the evidence the agent used.
Reliability starts before the connection
Access and permissions
Register a dedicated Entra app for service-to-service access and grant a Business Central permission set limited to the companies, tables, and actions the workflow needs.
Change detection
Subscribe to webhooks for the relevant entities and fetch the changed records, with a scheduled sync as backup. Subscriptions expire and need renewal, and a missed notification must never mean a missed invoice.
Controlled posting
Create unposted drafts, validate dimensions, VAT, and amounts, and leave posting to an approver unless a specific rule allows otherwise.
About the Dynamics 365 Business Central integration
Can the agent post invoices or journal entries in Business Central?
It can, but we rarely start there. The usual pattern is that the agent prepares unposted documents or journal lines and a person posts them. Automatic posting is enabled only for narrow, well-tested rules with clear limits.
Does this work with Business Central on-premises?
Our default is Business Central online. On-premises installations also expose APIs, but authentication and network access work differently, so we confirm the setup during Discovery.
We already have a Business Central partner. Do we need to involve them?
Often, yes, and that's a good thing. If the workflow needs a custom API page or an AL extension, we coordinate with your partner so the changes fit your existing extensions and upgrade path.
How is this different from Copilot in Business Central?
Copilot assists people inside the Business Central interface. A custom agent works across systems, for example reading invoices from email, checking them against Business Central, and notifying the right person in Teams, and it follows your own rules and approval steps.
